Training Description

The Uniform Data System (UDS) in-person training is a full day program covering the preparation of the 2015 UDS Report. The training addresses each of the report’s tables, including a discussion of the changes that have been made and the definitions necessary to complete the Report. The UDS training is aimed at those who are responsible for gathering and reporting the data elements included in the UDS Report, as well as management and clinical staff who need to understand the definitions and concepts used and those who use the data in their program management and improvement activities.

Review and Submission Process Deadlines and Dates

Grantees, look-alikes, and certain primary care clinics funded under the HRSA Bureau of Health Workforce (BHW) will submit their UDS Report by February 15th. These clinics will then work with their reviewer to correct any possible errors not identified electronically by the EHB, so the UDS reports are finalized by March 31st. Once finalized, BPHC and BHW will not permit further corrections or amendments.

Changes for CY 2015 UDS Reporting

Table 2015 Changes
4 Health centers will report separately those individuals who have both Medicare and Medicaid (referred to as “dually eligible” or “Medi-Medi” patients) in addition to reporting them in the Medicare patient count. •      A new line, line 9a, will report the number of such patients seen by the health center. •      This will be a subset of Line 9 (Medicare): •      These patients will be reported on both line 9 and 9a.
6A Transition to ICD-10
The reporting of newly diagnosed HIV positive patients have been removed from this table and only reported on table 6B, along with outcomes.
6B Transition to ICD-10 –Dental Sealants Measure: A new measure (line 22) has been added to report children, age 6-9 years, at moderate to high risk for caries who received a sealant on a first permanent molar during the reporting period
7 Transition to ICD-10 Poorly Controlled Diabetes:   The measure has been revised to support alignment with other nationally recognized measures. Health centers will report those patients with HbA1c:•      “less than 8%” in Column 3d1•      “greater than 9%,” or who had no test during the year” in Column 3f
9E ARRA CIP/FIP Grants line 4a has been removed.
